Turn a catalogue request into a usable brief
“Please send your best price” gives a supplier very little to work with. A useful wholesale Ayurvedic medicine enquiry explains what you are considering, who is buying and which answers will help you decide. The aim is a clear request, not a finished order or an appointment application.
Prepare the brief in your own business records before opening the enquiry form. That lets colleagues check product names and quantities together. Share only the details needed for the enquiry; customer lists, patient information and unrelated internal files do not belong in a general request.
Give every item its own line
Begin with the exact product name shown in the portfolio. Add the preparation, requested pack and quantity with an explicit unit. “Ten” could mean ten packs or ten cartons; writing the unit avoids that ambiguity. When a pack is not confirmed, write “please confirm current pack” instead of selecting one by guesswork.
Keep similarly named preparations on separate lines. If you would consider an alternative, ask for it to be identified separately for review. Do not give a blanket instruction to substitute anything unavailable. A separate proposal preserves the difference between what you requested and what you may later choose.
Add context that changes the answer
State your business type and delivery city. Explain whether this is an initial shortlist, a repeat requirement or a request for current product information. Include a requested receipt date if it matters, clearly labelled as your requirement rather than an agreed commitment.
Identify the person within your business who can resolve questions. This need not be a long organisation chart: a named purchasing role and one enquiry reference can be enough for your internal working note. Use the appropriate public form for the business contact details you choose to share.
Ask questions with a clear purpose
Request current availability and the terms relevant to your exact enquiry. If your team needs particular documents, name them and explain their purpose. Avoid asking for “all certificates” without knowing what your reviewer needs; a focused request is easier to assess.
A useful final check is to imagine receiving the response. Could you match each proposed item back to your request? Would you know which pack, quantity or timing question remained open? Number the lines and retain a dated copy so later changes are visible. This article concerns the brief itself; broader first-order preparation belongs in the readiness guide.
Your working checklist
A preparation aid, not a qualification score. Choices stay on this page and reset when you leave; nothing is sent or saved.
One question before you continue
Does an enquiry confirm stock or prices?
No. Use the written response for the specific requirement. A catalogue or earlier conversation is not current order confirmation.
Put your notes to work
Use the route that matches your buying role. Keep your preparation notes for your own review.
