A Trade Buyer’s Checklist for Reviewing Product Documentation
Reconcile the product before interpreting the document.

Reconcile the product before interpreting the document
A catalogue, a product image and a supporting document can each answer a different question. Before relying on any of them, establish that they refer to the same product and preparation. A careful identity check is a useful first step for a trade buyer reviewing product documentation.
The purpose is to prepare a clear follow-up list. This checklist does not certify a product, interpret a licence or establish a health claim. Where a document needs specialist interpretation, keep that question with the appropriate qualified reviewer.
Build an identity line
Record the exact product name, preparation and requested pack from the material you are reviewing. Keep spelling differences visible until they have been resolved. Similar names, an added word or a different preparation may matter; do not collapse them into one identity because the branding looks familiar.
Note which document supplied each detail. If the pack description appears only in an older image, identify that limitation and ask for current information. A polished photograph is not evidence that the pictured pack is the current version available for your enquiry. Avoid filling a gap from another product’s page.
Check scope and version
Record the source, date or revision when available, and the product to which the document applies. An organisation-level statement and a product-specific statement have different scopes. Keep them in separate rows so the reader can see which question each is being used to answer.
If two sources disagree, preserve both references and write a specific clarification request. For example: “These two documents describe different pack details; which applies to the item under review?” This is more actionable than labelling the entire file set incomplete. Do not silently choose the newer-looking artwork as authoritative.
Write questions that a reviewer can resolve
Group questions into identity, current pack, document scope and interpretation. Distinguish a missing file from a file received but not yet reviewed. If the answer may affect purchasing or public communication, identify the decision that should wait for it.
Keep your final note concise: the exact item, the conflicting or missing detail, the sources checked and the response required. Use the portfolio and brand pages as starting points for product enquiries, not substitutes for current item-specific confirmation. The separate patent guide addresses patent information; this review stays focused on matching documents to the product and preparing the next question.
Your working checklist
A preparation aid, not a qualification score. Choices stay on this page and reset when you leave; nothing is sent or saved.
One question before you continue
What if the document has no visible revision date?
Record that the date is unavailable and ask which version should be used. Do not assign a date or assume that an undated copy is current.
Put your notes to work
Use the route that matches your buying role. Keep your preparation notes for your own review.
